Generating Aggregate Receipts

The receipting feature allows you to generate aggregate receipts. An aggregate receipt can be a single receipt for multiple payments or for one payment split among multiple funds.

An aggregate receipt prints under the following conditions:

■    A donor made multiple payments to one fund (one registration number)

■    A donor made one payment distributed to multiple funds that meet the specified selection criteria, but the funds have the same registration number

■    A donor made a payment to a fund that does not have a registration number (receipts for payments to funds without registration numbers are aggregate receipts by default)

To generate an aggregate receipt

1.  From Fundraising, select Enter and edit gifts to display the Overview tab on the Enter and edit gifts window.

2.  Enter a gift. See  To enter a single gift or single pledge for information on entering a single gift.

3.  Click New and enter a second gift using the same donor ID, but to a different fund, and click Save.

4.  From Fundraising, select Generate reports to display the Generate reports window.

5.  Select Receipt from the list of Report Types.

6.  Select Sample Auto Receipt (Crystal) from the list of Available Reports.

7.  Click Run to display the Auto Receipt Batch Query window.

8.  Click Select Specific Gift(s) to display the Select Specific Gifts window. Select the two gifts you just entered.

9.  Click OK to return to the Auto Receipt Batch Query window.

10. Click Print.

11. Click OK when the system prompts you to change printers.

□    In this example, a single receipt was issued for both gifts. The gift amount of $500 displays in the Gift Amt. field in the Receipt Validation window. This is the total of the two gifts. Yes displays in the Receipt Validation window to indicate that this is an aggregate receipt. Because this is an aggregate receipt, only one receipt number displays.

12. Click OK. A message displays asking if you want to print a thank you letter for this receipt.

13. Click Yes to print the letter, or No to skip printing the letter. After you print the thank you letter or click No, a second message displays asking if you want to print a register report for this receipt.

14. Click Yes to print the register report, or No to skip printing the register report.
